Maltese document management company Documents Archive Management (DAM) which provides off-site confidential secure document management solutions, is entering its third year of operations. The company, which offers a state-of-the-art archive center was formed by a team of professional business leaders to meet the requirements of legal, social and statutory organizations who regularly need to retrieve their records in time and at least cost and to offer these organizations a document archiving service with a difference.

“DAM  has in a short span of time managed to introduced the concept of extending the trust that one places in his banker to the archive manager,” explains Silvan Fleri, a senior management member of the company. “Getting people to entrust us with their documents has been the main challenge that  DAM faced during its inception period, but this was not a surprise to DAM because before the launching of the company, an extensive market survey was undertaken and the prevailing response from the market was that ‘trust’ was the main barrier that needed to be overcome. This feedback was tremendously valuable for DAM to position its service and to offer a unique service of trust and professionalism. The portfolio of clients supporting DAM’s services is proof of the  soundness of this policy direction because the clients  of DAM encompass all sectors including private and public sectors; professionals, industry, services as well as from the financial sector.”

One such company who has recently adopted DAM’s services is Vodafone Malta, a tangible move which is line with the company’s efforts towards the paperless office especially in view of its imminent move to MIA’s new SkyParks business centre.

“Vodafone’s new offices at Skyparks are a first of their kind in Malta and will have very limited storage space. As such, we have long been instilling a paperless culture as a way of life among our team members,” adds Antoinette Camilleri, property manager at Vodafone Malta.

As the move to Vodafone’s  new offices at SkyParks Business Centre approached, DAM’s professional team moved in to organize the existing documents and  to record the details onto its Oneil software -  the world’s leading tracking software to the documents storage industry.  The process and migration to DAM state-of-art archive moved on smoothly and efficiently and the staff at Vodafone were delighted with the response by DAM when retrieval was subsequently needed.  They remarked that the service provided by DAM exceeded their expectations.

“We offer document management within the most descrete environment and in our service offer, we nurture a relationship with our clients that is based, first and foremost, on trust. We do not offer storage facilities. We offer a unique and exclusive document management activity including scanning, digitisation and electronic document management that provide solutions to documentary issues and no other material is archived. This is what makes our service different, professional, more secure and more relevant in the sector,” added Mr Fleri.

DAM’s archive center operates within state of the art premises that offer security and supporting services the way one would expect from such an environment. Access is tightly controlled, fire and intrusion systems are of the latest technology, cleanliness is a must and all anti-dampness systems  are in place, as attested by the various on-site audits undertaken by clients of DAM. The archive services operated by DAM are also supported by a professional and international software programme which has been applied internationally by the archive industry. Through this software DAM clients are given the facility to log into the programme at any time on a 24x 7 basis, view their records and demand retrieval of docs which can be delivered in line with the client’s requirements. This software is unique to the archive industry and regularly updated.

“The trust that companies are shownig in our service, and indeed, in the archiving business augurs well for the future of DAM especially in view of the new services that we are planning to start offering to our clients that will enhance our existing portfolio of services. We are a professional and dedicated team, offering tailor made services according to the uniqueness of our clients and hance, their unique requirements. This makes us more commited to work hard to meet their needs in an efficient and professional manner without in any way compromising on the utmost confidentiality that is needed in this service” concluded Mr Fleri.
